Who we are

Fabric FM is a facilities management software platform. The website fabricfm.com is run by [Registered company name], a company registered in England and Wales with company number [Company number], whose registered office is at [Registered address] ("Fabric FM", "we", "us").

We are the controller of the personal data described in this notice. This means we decide how and why it is used, and we are responsible for it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

If you have any questions about this notice or how we handle your data, email hello@fabricfm.com.

What we collect

Information you give us

When you use our contact form, we collect:

  • first name and last name
  • work email address
  • company name
  • phone number (if you provide it)
  • the topic of your enquiry and your message

If you email us directly, we collect your email address, name and anything you include in your message.

Please do not include sensitive personal information (such as health details) in your message. We do not need it to answer an enquiry.

Information collected automatically

  • Technical data. When you visit the site, your browser sends information such as your IP address, browser type, device type and the pages you request. Our hosting provider and font provider receive this as part of delivering the site (see below).
  • Visitor token. When you use the contact form, the form creates an anonymous visitor token and stores it in your browser so the form can be submitted. See Cookies and similar technologies.

We do not currently use analytics tools to track how visitors use the site.

Where we rely on legitimate interests, we have considered that our use is expected, limited to what is needed and does not override your rights. You can object at any time (see Your rights).

Where we rely on consent, you can withdraw it by emailing us or using the unsubscribe link in any marketing email. Withdrawing consent does not affect anything we did before you withdrew it.

Who we share it with

We do not sell your personal data. We share it only with service providers who help us run the business and who act on our instructions as processors:

  • Wix.com Ltd hosts the website, serves its images (through static.wixstatic.com) and stores contact form submissions in Wix Forms and Wix CRM.
  • Google provides our email (Google Workspace) for hello@fabricfm.com. Google also delivers the fonts used on the site through Google Fonts, which means your browser sends your IP address to Google when it loads a page.

We may also share data with professional advisers (such as lawyers and accountants), with a buyer or successor if our business is sold or restructured, or where the law requires it, for example to a regulator or the police.

Our site links to our Instagram profile. If you follow that link, Instagram (Meta) handles your data under its own privacy policy, not this one.

International transfers

Some of our service providers, or their own suppliers, process data outside the UK, including in Israel, the European Economic Area and the United States.

When personal data leaves the UK, we make sure it is protected by an appropriate safeguard. Depending on the provider and destination, this may be a UK adequacy decision (the UK recognises the country as giving adequate protection), the UK–US data bridge for certified US organisations, or contract terms approved under UK law such as the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses.

You can email us for more information about the safeguards that apply.

How long we keep it

We keep personal data only for as long as we need it.

Proposed retention periods

These periods are a proposal and should be confirmed before publication.

  • Enquiries: up to 24 months from our last contact with you, unless you become a customer.
  • Customers: if your enquiry leads to a contract, we keep the relevant records for the length of the relationship and then for as long as needed for legal, tax and accounting purposes (usually six years).
  • Marketing consent: until you withdraw it. We keep a short record that you opted out so we do not contact you again.
  • Visitor token: stays in your browser until you clear your browser storage.
